Job Description:

We are currently seeking an experienced Event/Logistics Coordinator to help plan, manage and coordinate execution of our small and large events – both in-person and online. A successful candidate will be extremely organized and be able to manage the logistics of multiple events simultaneously. Responsibilities for the Event/Logistics Coordinator include meeting with internal staff and sponsors to work out event details; for live events – scout and book event locations, arrange catering, parking and lodging, arrange technical facilities, and registration staffing, and supervise/manage cleanup and budget reconciliation; for online-only events – confirm technical details with Community Managers, confirm all participants/hosts and assure they have needed equipment and training, and initiate and monitor online event streaming. The event coordinator will work closely with local and national partners, as well as with community managers who are responsible for event content.

Key Responsibilities 

  • Coordinate with internal staff, sponsors and venue representatives during event planning.
  • Plan and manage all logistics aspects of the in-person event planning and day-of process, including collaboration with internal staff, sponsors, technical vendors, venue identification, catering, problem-solving, welcoming guests, directing event set-up, on-site staffing for registration and cleanup, shipping of event materials, budget tracking, and more.
  • Plan and manage all logistics aspects of online events, including assuring that guests are equipped with proper hardware and software, test streaming and recording capabilities prior to each event, monitor online live and recorded proceedings to assure sound and visual quality, upload finished recordings as needed.
  • Execute post-event surveys, summarize data and report findings to internal relevant staff.
  • Set up registration, reporting problems/issues, handling phone calls/messages from users having registration problems, and tracking registration against goals.
  • Anticipate and plan for possible different scenarios.
  • Coordinate with editorial and marketing teams to create effective advertisements for each event.
  • Establish standardized event procedures and train staff into properly executing them.
  • Build and adhere to an event budget to avoid project overruns.
  • Track event key performance areas and identify items to work on for future events.
  • Develop a network of event subcontractors that make planning community events a simpler process.

Required Qualifications:

  • Strong communication skills, and the ability to present event ideas and plans to staff members and sponsors.
  • Ability to work independently and virtually
  • Excellent time management skills
  • Capable of working with internal and external teams and partners
  • Ability to delegate event planning tasks to other staff members where necessary
  • Experience coordinating large-scale events and adhering to budgets
  • Familiarity with event registration software
  • Bachelor’s degree in business management, hospitality management, marketing or related areas
  • Ability to work under strict deadlines
  • 2+ years’ logistics/event management experience
  • Job Type: Full-time

Salary: $40,000 to $50,000/year
